ORDERS

You can order transcription services through email, or contact us direct by telephone. Our dictation software allows you to send dictation files direct by email or Dropbox.

When providing the dictation file, please notify in which timeframe the job is required. If you require an estimate of costs, please advise by email and we will respond prior to commencing transcribing. Once the audio file is transcribed, it is returned via email or Dropbox to the client.

Dictation files can be sent in formats such as DSS, DSS Pro, MP3, MP4, WAV/AIFF, WMA, CD, DVD etc.

If you require documents to be copy-typed, simply scan and email your document(s) to us. Upon completion, the document(s) will be supplied by return email.

Audio CDs, DVDs, USB or Flash Drives can also be transcribed. You can arrange delivery of the CD or DVD via courier or mail. A charge for postage (at cost) may apply should you require the return of original disc(s).

We offer a number of turnaround times for transcript services to best suit your needs. These include:

  • Priority 1 – By 10:00am the next business day (if received after 4:00pm);
  • Priority 2 – Within 24 hours; and
  • Priority 3 – Within 3 to 5 working days, depending on volume (Standard).

Please note: Transcription time can take up to 3 – 5 times the length of the audio file depending on the **quality of the recording, background noise, speed of speech, number of persons speaking, and/or clarity of speaker(s).

Clients may supply templates and precedents and we will prepare your documents according to your preferred layout and formatting. Otherwise, we will use our standard templates and formatting.

With respect to the preparation of a Transcription, please advise if you require Intelligent Verbatim (court style) or Strict Verbatim. Intelligent Verbatim is tidied up, making it easier to read (more like written English), for example: “Ums” and “ahs” are removed. **Strict Verbatim is transcribed as it is heard, including “ums”, “ahs” and repetition. When there is an interpreter, we only transcribe what is spoken in English.

RATES

Our audio transcription service rates vary depending on the delivery turnaround, audio length and quality. You will be given a quote dependent on the information you supply us regarding the required transcription.

Transcription services are charged at a rate per audio length, in minutes. A higher fee is applicable for Priority 1 and Priority 2 requests.

**Extra charges apply if:

  • the recording is not clear/audible;
  • there are 3 or more people talking; or
  • Strict Verbatim requested.

Please contact us for details. We endeavour to provide quality work at a reasonable rate.

Clients are invoiced at the completion and provision of the transcription, or fortnightly for ongoing work/repeat clients. Invoices are provided in electronic format. Payment terms are strictly 14 days from the date of invoice.

A 15% per month late payment fee applies to overdue accounts. Preferred method of payment is direct debit/deposit to our nominated bank account however, we also accept company cheques and cash.

We require a minimum 24 hours notice for cancellation of a booking. Failure to notify our office within the required time may result in a cancellation fee.

Transcripts are produced within 3 to 5 working days unless otherwise requested. Prices will vary according to turnaround time, audio quality and content – please see Orders.
